    Insurance organisations have invested heavily in digital tools, but many employees still work across disconnected systems, spreadsheets, email threads, and document repositories.

    A broker may need one system to access client information, another to prepare a submission, a third to communicate with underwriters, and several spreadsheets to track progress. Underwriters face a similar challenge, moving between trading platforms, pricing tools, policy administration systems, and external data sources to evaluate a single risk.

    Each tool may perform its individual function well. The problem appears between them.

    Information has to be copied, reformatted, checked, and often rekeyed. Employees spend time locating the latest version of a document or confirming whether data held in one system matches another. Automation is limited because the workflow is spread across tools that were not designed to work as one process.

    Replacing individual systems with another large application will not necessarily solve this problem. Insurance organisations need to rethink how employees interact with their technology and data.

    A digital workbench brings the information, actions, and tools required for a particular role or process into one working environment.

    An insurance broking workbench could include client and policy information, submission documents, market responses, outstanding actions, and placement status.     The workbench does not have to replace every underlying platform. Core systems can continue to perform the functions for which they were designed. The workbench sits above them, presenting relevant information and allowing users to complete tasks without moving constantly between applications.

    This distinction matters. Replacing every legacy system at once is expensive, disruptive, and often unnecessary. A workbench can improve the user experience and connect processes while organisations modernise the underlying technology gradually.

    A single source of truth must sit beneath the insurance workbench

    An enterprise data platform can ingest and standardise data from policy administration systems, CRM platforms, document repositories, trading platforms, third-party sources, purchased data, client data, and other parts of the insurance ecosystem. It establishes a single source of truth so that every workflow uses the same current and governed information.

    This does not necessarily mean simply storing every piece of data in one database. It means establishing clear ownership, definitions, and rules for how information is accessed and updated.

    If a broker changes a client detail, that change should be reflected downstream wherever the information is used. If an underwriter receives new exposure data, the workbench should present the updated information without requiring someone to copy it manually into several systems. Data should flow automatically and frictionlessly.

    Creating this foundation drives lineage, which also improves traceability. Organisations can see where information came from, when it changed, and who approved it. This is particularly important in insurance, where decisions must be explainable, and processes need to withstand regulatory and internal scrutiny.

    Connected data makes end-to-end automation possible

    Many insurance organisations have already automated individual tasks. A system may extract data from a document, generate a notification, or calculate part of a premium.
    These improvements are useful, but they do not create an automated workflow if employees still have to transfer the output manually to the next stage.

    When the workbench is connected to an enterprise data platform, automation can extend across the process. Incoming information can be captured and validated, relevant tasks can be assigned, and straightforward cases can progress automatically. Exceptions can be routed to the right person together with the context required to make a decision.

    Consider the submission process. Documents and structured data arrive through different channels. The platform can identify the client and risk, validate the available information, highlight missing fields, and populate the appropriate workflow. The broker reviews exceptions rather than rebuilding the submission from the beginning.

    Once the submission reaches the market, responses can return to the same workbench. Changes are recorded centrally, follow-up actions are triggered, and everyone involved can see the current status.

    The goal is not to remove people from the process. It is to remove the administrative work that prevents them from focusing on negotiation, judgement, and client relationships. The goal is to also reduce error and improve accuracy.

    The workflow should determine the technology

    Organisations need to identify where information enters the process, how it changes, which decisions are made, and where employees have to leave one system to continue working in another. This reveals the real causes of delay and duplication.

    Some problems may require integration rather than a new interface. Others may result from unclear ownership or inconsistent operating practices. Automation will not fix a process that has not been clearly defined.

    The workbench should therefore be designed around the needs of its users and the decisions they make. Brokers, underwriters, operations teams, and compliance specialists do not need the same view of the data. A useful workbench gives each role the right information and actions without hiding the wider context.

    Trying to include every possible function usually produces another complicated system that employees find ways to avoid. The strongest workbenches are focused. They simplify a defined workflow while connecting users to the broader technology environment when necessary.

    Governance becomes more important as automation increases

    Insurance data often includes personal information, commercially sensitive records, and material used to make regulated decisions. Access must be based on roles and business needs. Changes should be logged, data quality rules should be clear, and automated decisions should have defined boundaries.

    The same principle applies when AI is introduced into the workbench.

    AI can help employees extract information, summarise documents, identify inconsistencies, and recommend next actions. More advanced agents may be able to coordinate several steps across connected systems.

    But greater technical capability does not remove the need for accountability. Organisations must define which actions can be completed automatically, which require approval, and how exceptions are escalated. Employees should be able to understand the information behind a recommendation rather than treating the system as an authority that cannot be questioned.

    Modernisation does not need to happen all at once

    The move towards connected workbenches does not require a complete transformation of the technology estate from day one.

    Organisations can begin with a workflow where fragmentation creates a measurable operational problem. This could be submission preparation, underwriting referrals, claims triage, policy servicing, or bordereaux processing.

    They can then connect the most relevant systems, establish ownership of the required data, and automate the parts of the workflow that are stable and repeatable. Once the approach is proven, the same data foundation and integration capabilities can support additional workbenches and processes.

    This incremental approach delivers value sooner while reducing the risk associated with large-scale replacement programmes. It also allows the organisation to learn how employees use the workbench before expanding it.

    The real objective is a connected way of working

    A workbench should not become one more application added to an already crowded technology environment. Its purpose is to reduce that complexity.

    When supported by a governed enterprise data platform, a workbench can provide employees with one place to access reliable information, manage their responsibilities, and move work forward. Core systems remain connected in the background, while automation coordinates the steps between them.

    The result is not simply a better interface. It is a more consistent operating model in which data can move through the organisation without repeated manual intervention.

    For insurance businesses, that creates a foundation for faster processes, better decisions, and more effective automation. It also allows technology to support the way people need to work, rather than forcing people to compensate for the way systems have been assembled.
